Budget Approvals

Every line item in Etropo has an approval status: Draft, Pending Approval, Approved, or Rejected. You can update these statuses directly in the budget editor — one at a time or in bulk — or through Budget Buddy and AI agents via MCP.

Approval Statuses

  • Draft — Line item is being planned, not yet submitted for review
  • Pending Approval — Submitted and waiting for a decision
  • Approved — Reviewed and approved for spend
  • Rejected — Reviewed and not approved

Updating Approvals in the Budget Editor

Single Line Item

Click on any line item to open its detail panel. Change the approval status from the status dropdown.

Bulk Selection

Select multiple line items at once using bulk selection in the budget editor, then use the bulk actions bar to change the approval status for all selected items at once.

This is the fastest way to approve or reject a batch of line items during a budget review — no need to update them one by one.

Filtering by Status

Use the budget editor’s filter to narrow your view by approval status. For example, filter to “Pending Approval” to see only the items waiting for your review, then bulk-select and approve them.

Updating Approvals with AI

Budget Buddy

Ask Budget Buddy to update approvals in natural language:

  • “Approve all line items in the Paid Media category”
  • “Move the SEO Agency line item to Pending Approval”
  • “Reject the conference sponsorship and add a note”

Budget Buddy confirms the changes before applying them.

Claude, ChatGPT & Other AI Agents

If you’ve connected Etropo via MCP, you can manage approvals from any AI assistant:

  • “What line items are pending approval in my marketing budget?”
  • “Approve all Q2 line items under $5,000”

The AI agent reads your budget data and updates statuses through the same approval workflow.

Tips

  • Filter first, then bulk-select — Narrow your view by category, owner, or status before selecting items to approve
  • Use Budget Buddy for conditional approvals — “Approve everything under Digital Marketing except Display Advertising” is faster than manual selection
  • Add context when rejecting — Use comments on the line item to explain why, so the owner knows what to change
