# Connecting Etropo to Notion

With the integration between Etropo and Notion, each budget you connect gets its own Notion database: one row per line item, with the planned amount and the actuals for every month, plus the category, owner, cost center and currency. The database **stays in sync**: Etropo updates only the cells that changed, so the page history in Notion stays readable.

## Setup

1. Go to the [Integrations tab](https://app.etropo.com/integrations) and click "Connect" on the Notion card
2. Authorize Etropo in Notion
3. Optional: in Notion's page picker, select a page your team can see to share with Etropo. You can also share pages later
4. Click **Connect Budget** and select the budget you want to export
5. Select the version of that budget. The active version is selected by default
6. Choose where to create the database: **Private (only you)**, or one of the pages you shared with Etropo

Etropo creates and fills the database right away. After that it syncs daily at 7:20 AM UTC. You can also sync it at any time from the Integrations page.

**Note:** Only organization administrators can connect Notion and manage connections.

### Where the database lives

A database created under **Private (only you)** sits in your private pages in Notion; teammates cannot see it until you share it from Notion. A database created inside a page you shared with Etropo inherits that page's sharing, so a team page is the right choice for budgets the whole team works from.

### Budget Versions

A Notion database is connected to one [version](https://docs.etropo.com/budget-planning/versions) of a budget, and keeps exporting that version's plans.

If you activate a different version later, the connection follows automatically — the same database starts showing the newly active plan, and only the cells that differ are updated. Deleting a connected version disconnects its database; the confirmation dialog tells you before you delete.

Actuals are shared across all versions, so the Actual columns show the same figures no matter which version is connected.

## Features

### Your Notion edits are safe

Etropo matches rows by the **Etropo ID** column and touches only the columns it created. That means:

- Comments, sub-pages, views, filters and sorts you add in Notion stay as they are
- Columns you add yourself are never changed
- Rows you add yourself (rows without an Etropo ID) are never changed or removed
- If you delete a row by accident, the next sync brings it back
- If you edit a budget number in Notion, the next sync overwrites it with Etropo's value — Etropo is the source of truth

Keep the Etropo ID column and the types of the columns Etropo created. If a column's type is changed in Notion (say, Category turned into a multi-select), the sync stops with a message telling you which column to change back. You can also remove the connection and connect the budget again to get a fresh database.

## Database Structure

| Column | Type | Content |
|---|---|---|
| Line Item | Title | The line item's name |
| Master Category | Select | Only when the budget uses master categories |
| Category | Select | The line item's category |
| Status | Select | The line item's status |
| Cost Center | Select | The line item's cost center |
| Owner | Text | The line item's owner |
| Currency | Select | The line item's currency |
| Your custom properties | Text | One column per budget property |
| Jan 2026 Plan, Jan 2026 Actual, … | Number | One pair of columns per month that has values |
| Etropo ID | Text | How Etropo recognizes the row. Keep it. |

New months appear as new columns the first time they carry a value.

## Limits

- Up to **500 line items** per connected version. Notion writes one row at a time at a limited rate, so larger budgets cannot be synced within one run; the Connect dialog tells you if a version is too large
- One Notion workspace per Etropo organization. Connecting a different workspace later replaces the connection; databases created in the previous workspace must be removed and connected again
- Free Notion workspaces have a block limit. When it is reached Notion refuses new rows, and the connection shows a message saying so

## Troubleshooting

- **"Etropo's access to this Notion workspace was revoked"**: the Notion connection was removed in Notion. Disconnect Notion from the Integrations page and connect it again
- **"The Notion database for this budget was deleted or is no longer shared with Etropo"**: the database was deleted, moved to the trash, or its page is no longer shared with Etropo. Remove the connection and connect the budget again
- **Missing data**: ensure the version has values for the months you expect; months without any value have no columns yet

## Privacy & Security

We maintain strict security standards for the Notion integration:

- OAuth 2.0 authentication for secure connection
- Secure access token encryption
- Organization-level data isolation
- Etropo only creates and updates the databases it made; it never reads or edits your other Notion pages

### Data Collection

The integration collects:
- The Notion workspace identity (name and id) for the connected workspace
- Budget data (categories, line items, plans, actuals, custom properties)
- The ids of the Notion databases Etropo created, and their sync status
- Sync history and error logs

We store nothing more than that. For complete details about how we handle your data, please review our [Privacy Policy](https://www.etropo.com/legal).
